The short version

What we collect

When you use the trip planner, contact us, or enter a giveaway, you may share:

• Your name and email — so we can send your itinerary and reach you about your stay.
• Trip details — who's coming, your pace, the occasion, and any care needs you tell us (mobility, sober-friendly, allergies, budget, kids, pets).

Required fields are marked in each form. Optional care preferences help shape suggestions; please share only what is needed for your visit, not medical records, payment details, passwords, or access codes. Contact us directly to discuss specific accommodation needs.

How we use it

• To build your personalized Asheville itinerary and honor any care needs you noted.
• To notify us (the owners) that you've reached out, so we can welcome you well.
• To record giveaway entries and contact entrants about the giveaway. Entering a giveaway is separate from signing up for marketing updates.

The AI that helps write your plan

The planner can use Anthropic’s Claude API to help write a welcome. Information from your planner submission may be sent to that service, including your name, contact details, travel plans, and optional care preferences. Please do not include medical records or other sensitive details that are not needed for your visit. A built-in planning engine can produce suggestions when that service is unavailable. A plan displayed only on your device is not necessarily saved or emailed; the planner shows its save and delivery status separately.

Booking & payments

When you book, you're taken directly to ThinkReservations, our booking system. Any payment details you enter there are handled by ThinkReservations and its payment processor under their own privacy and security terms — please enter payment details only in the secure booking checkout, not in our contact or planning forms.

Website analytics

The website uses Vercel Web Analytics for page visits and booking-button clicks. Booking links include referral tags identifying the page they came from. Your browser also stores some settings, such as dismissed notices, planner access, and animation preferences. These browser settings are separate from saved itineraries and booking records.

Services used by the website

The website uses Vercel for hosting and connected data storage, Resend for itinerary email, Anthropic for optional AI-generated text, and ThinkReservations for bookings. Giveaway entries and newsletter signups use Google Apps Script and Google Sheets, kept in separate lists. These services process the information needed for their respective functions.

Newsletter choices

If you choose Subscribe, we record your email, the date, and the signup consent shown on the form. Entering a giveaway does not subscribe you. To stop newsletter emails, contact earthandskydwellings@gmail.com with “Unsubscribe” in the subject. Newsletter signup does not send a booking or itinerary email.

How long we keep it & your choices

• Your finished itinerary lives temporarily in our private Vercel data store behind both a long, unguessable link and a separate six-digit access code. The emailed button, saved link, and QR code all lead to that same locked itinerary.
• Saved itinerary links have an expiry based on the stay dates you enter, normally the day after checkout. Without usable stay dates, the default is 14 days. Check the expiry shown for your saved itinerary and save a personal copy before then.
• The owner dashboard keeps a separate copy of planner submissions. Its expiry check runs when the dashboard retrieves submissions; this is not a scheduled deletion of every stored copy.
• Newsletter and giveaway lists do not have automatic expiry. Unsubscribing stops marketing use; it is different from requesting deletion of your information.
• The itinerary expiry does not automatically delete separate booking records, emails, newsletter records, or giveaway entries. Contact us to ask about access to or deletion of your information; we will explain any records that need to be retained for your reservation or other obligations.

A note on the itinerary suggestions (Terms)

The restaurants, trails, and attractions your itinerary suggests are independent businesses, not affiliated with Earth & Sky Dwellings. Hours, prices, and availability change — please confirm directly with each place before you go. Your itinerary is a warm suggestion, offered in good faith, not a guarantee.

Help using the website

If a page, form, or booking step is difficult to use, please email earthandskydwellings@gmail.com or call 828-417-4079. Tell us which page and step caused the problem and how we can best help. Please do not send payment details or private access codes.

For physical access details at a dwelling—such as steps, doorway widths, bathroom layout, or parking—please contact us before booking. Website accessibility and a dwelling’s physical access features are different things.
